Privacy Policy - Adept AI

Last updated: October 25, 2026

Adept AI is a mobile application published by Hot Restart ("we", "our", or "us"). This Privacy Policy explains what information the app handles, why, who processes it on our behalf, and the choices you have.

In short: Adept AI has no advertising and does not track you across other apps or websites. Your content is used to provide the app to you; nothing is sent to our AI provider until you agree to it in the app; we use Google's Firebase tools to see crashes and how the app is used, without your name, email or content; and you can delete your account and everything in it from inside the app at any time.

Information We Handle

Account Information

You can start using Adept AI as a guest. In that case we create an anonymous account identifier so your content can be stored for you. If you create an account or sign in with email, Google, or Apple, we also receive:

  • Email address
  • Name and profile image, if your sign-in provider shares them
  • Unique user identifier (UID) and the sign-in method you used

Sign-in is handled by Firebase Authentication. We never see or store your password. The name you enter during onboarding is saved with your settings so the app can address you.

Content You Create

The app stores what you put into it, including:

  • Notes, knowledge cards, and their tags
  • Tasks, reminders, and daily plans
  • Learning paths, lessons, quiz results, and progress such as XP and streaks
  • Conversations with the Companion and items you ask it to remember ("Memory")
  • Reflections and focus session records
  • Sources you add: links, and documents you upload
  • Voice notes you record (audio files)
  • App preferences, such as language, Companion style, and reminder settings

This content is saved in a local database on your device and synced to our cloud storage under your account identifier, so it is available when you sign in on another device. Guest content is stored the same way; if you use the app as a guest and lose access to the device, we cannot recover it for you.

Shared Spaces

If you have a signed-in account, you can create or join a shared space to study with other people. Guests cannot use shared spaces. Creating a space and inviting people requires a Premium subscription; anyone with an account can join through an invite.

What other members of a space can see:

  • Your display name (the name on your account or the one you enter when joining) and your role in the space (owner, editor, or viewer). Your email address is not shown.
  • The space's name, and the notes and comments added to it, including the ones you add.

Everything else stays private to you: your personal notes, learning paths, progress, conversations, and Memory are never shared. A note only enters a space when you add it there or send a copy of it.

Invites are links or codes that expire after 7 days. We store only a scrambled (hashed) form of them. A space can have up to 10 members.

Information Sent for AI Features

Before the first AI request, the app explains what is sent to our AI provider and asks for your permission; if you do not agree, nothing is sent and AI features stay off until you agree. When you use an AI feature (for example chatting with the Companion, generating a learning path, summarizing a note, planning your day, or creating a quiz), the app sends your request to our server together with the parts of your content needed to answer it, such as the relevant note, recent messages, tasks, or Memory items. Our server forwards this to our AI provider to generate the response.

  • If you ask the app to transcribe a recording, the audio is sent to our server and to the AI provider to be converted into text.
  • If you add a link as a source, our server fetches that web page to extract its text.
  • If you upload a document (for example a PDF) as a source, our server reads the file to extract its text.
  • When you use that source in an AI feature, such as creating a lesson from a PDF or summarizing a source, the extracted text is sent to our AI provider along with your request.

Microphone and Speech

The microphone is used only when you choose to dictate or record. Live dictation uses the speech recognition service built into your device (provided by Apple or Google), which may process audio according to that provider's own terms. You can revoke microphone and speech recognition permission in your device settings at any time.

Purchase Information

Subscriptions are purchased through the Apple App Store or Google Play and managed with RevenueCat. We receive your subscription status, the product purchased, and transaction dates, linked to your account identifier. We do not receive or store your card number or other payment details.

Usage Counters and Log Data

We keep a daily count of the AI requests made by your account in order to apply the limits of your plan. On the free plan the same count is also kept per device, so that deleting the account or starting over as a new guest does not reset the limits: the app sends a random identifier for this installation (on iOS one stored in the device's Keychain, on Android the app-specific Android ID), and our server keeps only a one-way, keyed hash of it together with the counts, never the identifier itself. When the app contacts our servers, our infrastructure provider may automatically record technical information such as IP address, date and time of the request, and basic device or app information. This is used for security, abuse prevention, and troubleshooting.

Crash Reports and App Analytics

We use Firebase Crashlytics and Google Analytics for Firebase to fix problems and improve the app. If the app crashes or hits an error, a crash report is sent with the error details, device model, operating system version, app version and a random installation identifier. Analytics records app events such as finishing onboarding, creating a learning path, completing a lesson, viewing the Premium screen, making a purchase and your answer to the AI permission prompt, together with an app instance identifier and basic device information.

These tools do not receive your name, email address, notes, messages or other content, and we do not link this data to your account. It is not used for advertising or to track you across other companies' apps or websites.

App Integrity

To protect our server and AI features from abuse, the app uses Firebase App Check, which asks Apple (DeviceCheck) or Google (Play Integrity) to confirm that requests come from a genuine copy of the app on a real device. This sends technical device and app integrity signals to those providers; it does not include your content.

What We Do Not Collect

  • No advertising identifiers, and no advertising of any kind
  • No cross-app tracking, and no sale or sharing of data with data brokers
  • No location, contacts, or photo library access
  • No files other than the ones you explicitly pick
  • No biometric data: if you turn on biometric app lock, your fingerprint or face check is handled entirely by your device's operating system and never reaches us

Notifications are scheduled locally on your device. Home screen widgets read data stored on your device.

How We Use Information

  • To provide the app's features and sync your content between your devices
  • To generate AI responses that you request
  • To manage your account, subscription, and plan limits
  • To keep the service secure and prevent abuse
  • To find and fix crashes and to understand, in aggregate, which features are used
  • To respond to support requests and comply with legal obligations

We do not sell, rent, or trade your personal information. We do not use your content for advertising, and we do not use it to train AI models.

AI Processing

AI features are powered by models from OpenAI, accessed through its API from our server. Content sent for an AI request is processed by OpenAI under its API terms. According to OpenAI's published API policies at the time of writing, API data is not used to train its models by default and may be retained by OpenAI for a limited period (up to 30 days) to monitor for abuse.

Please avoid entering sensitive information that you would not want processed in this way. AI-generated content may be inaccurate or incomplete.

Service Providers

We share information only with the providers needed to run the service, each of which processes it under its own terms and privacy policy:

  • Google Firebase (Authentication, Cloud Firestore, Cloud Storage, Cloud Functions): sign-in, database, file storage, and our server
  • Google Firebase (Crashlytics, Google Analytics for Firebase, App Check, Remote Config): crash reports, app usage statistics, app integrity checks, and app settings such as the minimum supported version
  • OpenAI: generating AI responses and transcribing audio
  • RevenueCat: subscription management
  • Apple and Google: sign-in, app distribution, and payments

We may also disclose information if required by law or to protect the rights, safety, and security of our users and the service.

Data Retention and Deletion

We keep your content for as long as your account exists. When you delete an individual item, its content is removed from our cloud storage; a small deletion marker containing no content may remain so that your other devices also remove the item.

You can delete your account at any time from the app's Settings ("Delete account"). This permanently deletes your account and everything in it, including notes, tasks, sources, voice notes, conversations, Memory, and learning data, from our cloud storage and from the device. This applies to guest accounts as well. You can also request deletion by emailing us. The only exception is the per-device usage count described above: it contains no content and is not linked to your account, it is kept after deletion for abuse prevention, and it is deleted automatically about 35 days after the device last used an AI feature.

Crash reports and analytics data are not linked to your account; Google keeps them for a limited time under the Firebase retention settings and then deletes them automatically.

Shared spaces: if you delete a space you own, or delete your account while you own spaces, those spaces and all of their notes and comments are deleted for every member. If you leave a space, or delete your account, the notes and comments you added to other people's spaces stay there for the remaining members, but your name and account identifier are removed from them. Your display name and role are removed from the member list.

Residual copies in our providers' backups and logs are removed on their normal schedules. Purchase records held by Apple, Google, and RevenueCat are retained by them as required for billing and legal purposes.

Data Security

Data is encrypted in transit, and access to your cloud content is restricted to your own account by server-side security rules. No method of electronic transmission or storage is completely secure, so we cannot guarantee absolute security.

International Data Transfers

Our service providers operate servers in the United States and other countries. Your information may therefore be processed and stored outside your country of residence, where data protection laws may differ.

Your Privacy Rights

Depending on where you live (for example under the GDPR in the European Economic Area and the United Kingdom, the KVKK in Türkiye, or the CCPA in California), you may have the right to:

  • Access the personal data we hold about you and receive a copy of it
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict certain processing, and withdraw consent where processing is based on consent
  • Lodge a complaint with your local data protection authority

Where the GDPR applies, we process your information to perform our agreement with you (providing the app), on the basis of our legitimate interests (security and abuse prevention), and to comply with legal obligations. We do not sell or share personal information as those terms are defined under California law.

Requests can be made via the contact information below. We will respond within the period required by applicable law.

Children's Privacy

Adept AI is not intended for children under the age of 13, or under the minimum age required to consent to data processing in your country if that age is higher.

We do not knowingly collect personal information from children below that age. If we become aware that such information has been collected, we will delete it.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. If a change materially affects how your information is handled, we will give notice in the app or on this page before it takes effect.
